TIME MANAGEMENT AND ITS IMPORTANCE

The Time Management is the process by which the organization plans regarding the way they are to divide the allocated time between each of the specific activities. Effective time management leads the organization to ensure a smarter work environment that allows each task to be done in less time without much hardship even when there is pressure. The failure to manage time leads the employees in the organization to face stress, which in turn hinders the effectiveness of the performance of the organization.

Time Management can be effectively done by employees through the following ways:

Setting goals: The employees require interacting and working with their supervisors effectively to set goals they are to meet on a daily, weekly or monthly basis. For each of the identified goals, the employees require to set their timeline by breaking each goal into sub-goals so that it allows them to manage their work and fulfill the entire goal effectively. The organization, in this case, can provide the employee assistance with task management tools that they can use to ensure effective time management.

Prioritization: The employees are to be helped by the supervisors in analyzing their responsibilities based on the urgency and importance of their tasks and accordingly prioritize the activities. In order to execute this, effective communication is required between employees and supervisor in order to ensure that each of the prioritized activities is properly lined.

Organize: The employees required to be organized at work and need to know where lays which information and tool to be used by them that are required by them to execute their work. This is because in work every minute counts and an organized environment allow the employees to avoid wastage of time in finding things they require to execute the given tasks.

Streamline: The employees need to evaluate procedures and process each day for ensuring efficiency at work. In order to meet this purpose, the managers require executing regular discussion with the staffs to develop insight on efficient methods to be used for finishing task responsibilities.

Delegation: The right delegation ensures that the right tasks are allocated to the right individual or employees. In order to create effective delegation, the managers need to explain job duties in details and work in collaboration with the employees in developing a plan that ensures effective completion of tasks with monitoring and proper review.
Manage Communications: The employees are to manage communication in order to create effective time management. For instance, the employee who needs to meet the deadline is not to be able to receive many phone calls on the day as it would distract them from their goal of meeting the deadline.

Avoiding interruptions: The employees require to effectively manage interruptions at work as interruption results in extra time to be taken by completing jobs thus creating ineffective time management by them. The interruptions at work are inevitable but the employees with the skill of effective management them execute proper time management.

Less time for pleasant work: It is the nature of the human that they procrastinate when a difficult job is allocated to them. In order to help employees in this case and to make them focussed at work, the larger projects are to be broken down into smaller ones and allocate separate time for them to accomplish.

Ensure effective balance: The employees in case return to work each day full of stress it is unlikely they could perform with efficiency to manage work. This, the employees are to be properly directed to take rest so that they feel encouraged to work with efficiency each day. In order to achieve this, the organization can form an employee wellness program for their staffs.

There are various benefits to effective time management that are as follows:

  • The stress level can be highly reduced if proper time management is made at work as it helps to avoid the fear of meeting tight deadlines, less rush during task completion and others.
  • Effective time management is seen to make employees more productive at work. This is because the employees are aware and concerned regarding the activities they need to perform and when to meet the objectives thus result in them to face a lower workload.
  • The organized execution of work through time management leads towards fewer errors and lower amount of rework. This is because it avoids the employees to remember details at work and have effective instructions for quality execution of tasks.
  • The time management leads the employees to have more free time at work that can be productively used to execute work with better efficiency.
  • The effective time management creates a lower amount of frictions and problems at work. This is because the employees do have to rush in the last hours to execute their tasks which lead them to avoid personal problems to be created.
  • The employees who have the efficiency to manage effective time management have the efficiency to be at the top of the time and produce more opportunities for themselves.
  • Time management makes the employees improve their reputation at work. This is because the delivery of tasks within time makes the employees reliable to clients that they can receive the demanded services within time. Moreover, it leads the employee to face no questions at work from the higher authorities regarding when they are going to represent themselves for meeting the deadlines.
  • The time management allows employees to have less effort in executing their tasks and it makes life easier.
    Therefore, it can be seen that effective time management can be achieved by the employees with effective planning, setting of strong objectives and goals, delegation, setting effective deadlines at work, prioritizing activities, creating balance and others. The effective time management is important for business as it results in the employees to be less stressed and deliver quality performance. This is important for the business as it ensures their success in the market. The success is the key goal of the business as without it an organization cannot stand.
